PROSPX · LEGAL
PRIVACY POLICY
Effective 29 September 2026
This policy explains how PROSPX collects, uses, stores and protects personal information when people visit the website, contact PROSPX or use a PROSPX service.
1. Who we are
PROSPX is a football-development ecosystem operated by Lee Waddington. It includes PROSPX Mentor, the Player Intelligence Assessment, PROSPX 90, GameMind Coach Hub and PROSPX Academy Licence.
For questions about this policy or personal information, contact lee.prospx@gmail.com.
2. Information we collect
Depending on the service used, we may collect:
- name, age, date of birth and contact details;
- parent or guardian contact details where relevant;
- location, club, team, position, playing level and football-development information;
- assessment answers, reflections, scores, observations, reports and mentoring records;
- coach profile, qualifications, membership and professional-development information;
- academy-licence enquiry, application and business information;
- correspondence, brochure requests and information submitted through forms;
- account, access and service-usage information; and
- payment status and transaction references supplied by payment providers. PROSPX does not receive or store full payment-card details.
3. How we use information
We use personal information to provide and administer the requested service; create assessments, profiles and reports; support players and coaches; manage memberships and applications; respond to enquiries; maintain records; protect accounts; improve service delivery; and meet legal, safeguarding, accounting and regulatory responsibilities.
We do not sell personal information.
4. Our lawful bases
Depending on the circumstances, processing is based on performance of a contract or steps requested before entering a contract, compliance with legal obligations, legitimate interests in operating and protecting PROSPX services, or consent where consent is the appropriate basis. Consent can be withdrawn at any time, without affecting earlier lawful processing.
5. Players under 18
PROSPX services may involve young players. Where appropriate, we collect parent or guardian details and use additional care when handling a young person’s information. A parent or guardian should support an under-18 player where consent, purchasing or account administration requires adult involvement.
6. Payments
Payments are processed by Stripe or another payment provider identified at checkout. The provider processes payment details under its own privacy terms. PROSPX may receive the customer’s name, email address, payment status, transaction reference and limited transaction information needed to provide the purchased service and maintain financial records.
7. Who information may be shared with
Information may be shared only where necessary with trusted providers supporting website hosting, data storage, payments, email delivery, administration or professional advice; with a named coach where the player or guardian has requested and authorised sharing; or with authorities where required by law, safeguarding duties or the protection of legal rights. Providers are expected to use information only for the agreed purpose and protect it appropriately.
8. International transfers
Some service providers may process information outside the United Kingdom. Where this occurs, PROSPX will rely on an applicable lawful transfer mechanism and appropriate safeguards required by data-protection law.
9. How long information is kept
Information is kept only for as long as reasonably necessary for the purpose for which it was collected, including delivery of the service, safeguarding, dispute handling and legal, tax or accounting obligations. Retention periods vary by record type. Information that is no longer required will be deleted or anonymised where reasonably practicable.
10. Security
PROSPX uses reasonable technical and organisational measures designed to protect personal information from loss, misuse, unauthorised access, alteration or disclosure. No internet service can guarantee absolute security, so users should also keep passwords and private report links confidential.
11. Your rights
Subject to applicable law, individuals may have rights to access their information, correct inaccurate information, request deletion or restriction, object to certain processing, receive portable information and withdraw consent.
Requests can be made to lee.prospx@gmail.com. Identity may need to be confirmed before a request is completed. Individuals may also complain to the UK Information Commissioner’s Office at ico.org.uk.
12. Cookies and website information
The website may use essential storage or cookies needed for security, account access, saved assessment progress and core functionality. If non-essential analytics or marketing technologies are introduced, any consent required by law will be requested.
13. Changes to this policy
This policy may be updated when services, technology or legal requirements change. The latest version will be published on this page with its effective date.
